We are looking for an energetic and passionate Executive Assistant to join our Podcast Business Team in New York. With your excellent skills in communication, organization and coordination, you’ll have an important role in supporting the overall Podcast Business team in helping the team operate smoothly.
We are specifically looking for a proactive individual who is eager to go “above and beyond” the prescribed executive assistant role to support and lead new initiatives across our content business, becoming highly versed in the audio and video industries and helping develop reports and presentations alongside our executives.
What You'll Do
Support communication, collaboration, and scheduling across multiple content and strategy teams, chiefly reporting to the VP, Head of Podcast Business and the Senior Director, Head of Content & Ad Business Development and Strategy
Organize internal and external meetings, workshops, and team offsites with flawless logistical execution
Support agenda creation, compile and organize supporting documents/presentations, capture notes, and assist with action plans or follow-ups
Collaborate with key stakeholders throughout the business to enable seamless workflows
Be strategic with execs’ time based on established priorities and considerate of rhythm/pace of meetings
Lead or assist on special projects particularly for internal communications and presentations
Coordinate international and domestic travel logistics with seamless travel itineraries
Act as an extension to the executives in a manner that maintains positive, effective and collaborative working relationships across the organization
Take on a leadership role to streamline communication across the Podcast Business admin team
Proactive calendar management, regularly dealing with competing priorities across different levels and multiple time zones
Process expense reports in a timely manner in-line with company policies
Assist onboarding new hires reporting to the Head of Content & Ad Business Development and Strategy
Handle a number of vendor-related tasks including onboarding and invoicing
Support the day-to-day workflow for the Content & Ads Strategy & Operations team
Manage distribution lists and internal communication platforms for the overall Podcast Business and Content & Ads Strategy & Operations teams
Proactive in organizing events to promote team culture and connection Who You Are
Positive, results-oriented, self-motivated and growth-minded professional interested in building a career in content and technology with 3-5 years experience working at a media or management consulting company
World-class organization, communication and collaboration skills
Proactive problem solver with the ability to anticipate needs, and complete tasks (spanning research, organization, coordination, and delivery) without active supervision
A strong interest in the intersection of content, strategy, and technology
Excellent time management skills with an output-focused mentality, including the ability to successfully manage competing priorities and meet deadlines
Ability to exercise judgment in handling confidential or sensitive information, and maintain the highest level of confidentiality when necessary
Meticulous attention to detail and follow-through; self-manage to perform tasks with high degree of accuracy and efficiency
Team-oriented mindset with a high degree of flexibility and adaptability to switch easily between tasks and key priorities
Comfortable and confident liaising with executives at all levels

This position is an onsite position in our New York, New York location. You are required to be in the office 4-5 days per week Additional Information
The United States base range for this position is $88,599-$120,570, plus equity. The benefits available for this position include health insurance, six month paid parental leave, 401(k) retirement plan, 23 paid days off, 13 paid flexible holidays.
