About the position

The Operations department at Parity supports the critical business mission of making “Polkadot the most active and innovative community building the future decentralised web” and acts as a service partner to all Parity teams, delivering crucial support to the business, so that the mission can be achieved. This is a full time, permanent role.

As an Operations Associate, you will report to the Operations Manager and collaborate closely with the Travel & Events Lead. Your primary responsibility will be to oversee internal processes, ensuring smooth operations and alignment among all stakeholders. We seek an enthusiastic, team-oriented, and well-organized individual with a versatile skill set. You will assist the team with a wide range of strategic projects, demonstrating your ability to adapt to various roles and tasks efficiently. This position demands experience, dedication, and a proactive approach to problem-solving, contributing significantly to our dynamic and evolving environment.

About the role:

  • Track and drive completion of key deliverables, and follow up on outstanding items related to projects pursued by the Operations team (e.g. on/offboarding).
  • Provide administrative and logistics support (invoices, orders, workplace processes)
  • Organise and execute team travel and event organisation (team events, team retreats, company events, conferences, celebrations, team mobility)
  • Assist with documentation (develop team and department workspaces, write Forum posts about ongoing initiatives, archive and delete information)
  • Support cross-department collaboration and act as a liaison with the Operations team
  • Support subscription management (inventory, streamline tools, implement processes) and procurement
  • Support organisation of multi-day team retreats, for teams from 5 to over 30, including: aligning on requirements with team leads, booking global venues and accommodation, coordinating catering and travel, and providing hands-on on-site event management as required.
  • Research events and create proposals for potential locations and content to consider
  • Assist with planning and delivery of other internal events as required, from local social events to company-wide retreats#
  • Occasional travel, mostly within Europe, will be required for this role

About you:

  • 3+ years of administrative / operational assistant experience
  • Proactive, can-do person that is motivated to solve challenges and can offer high level of professional support
  • Very strong organisational and planning skills
  • Experienced at using Apple OS, Gmail, Docs and Spreadsheets
  • Excellent communication skills with either native English or C1 equivalence
  • Good project management skills with experience in tools like Asana, Notion, Hubspot or similar, with proven ability to manage concurrent projects. 
  • Have knowledge/awareness of Web3 ambitions, especially Polkadot
  • Have experience in a fast-paced and growing tech startup environment, with interest in Web3 space and its values
  • Based in Europe or the UK

And ideally also:

  • Formal PM qualifications 
  • Experience working on projects
  • Communications or copywriting experience
