As Executive Assistant (d/f/m) your responsibilities will include:

  • driving operational excellence as the right hand to the CEO and senior leadership
  • owning and optimizing complex calendars, travel itineraries, and meeting logistics across time zones while anticipating needs and minimizing friction
  • preparing agendas, capturing clear and actionable meeting notes, and ensuring timely follow-up to keep momentum on key initiatives
  • serving as a trusted point of contact between the leadership team and internal stakeholders, partners, and external contacts
  • greeting, hosting, and coordinating visits from top guests, investors, interview candidates, and strategic partners with professionalism and warmth
  • organizing on-site meetings, team events, and leadership offsites, from planning to flawless execution
  • handling highly sensitive information with integrity, sound judgment, and a commitment to confidentiality
  • What you will need to succeed in this role:

  • 2–7 years of experience supporting C-level executives, ideally in a fast-paced tech or startup environment
  • mastery of complex, executive-level calendar management, including balancing competing priorities, blocking out focus time, and managing multi-timezone scheduling
  • proven ability to thrive and remain composed in a high-pressure, rapidly changing environment, prioritizing quickly and managing multiple projects simultaneously
  • excellent verbal and written communication skills, with a professional and warm demeanor, being a natural host and problem-solver
  • professionalism, being discreet, proactive, and highly reliable, with strong judgment and exceptional attention to detail
  • Fluency in English (spoken and written); German is a plus.
