Role Summary

We are seeking a highly organized and proactive Sr. Analyst – Workspace Administration to manage daily office operations across Nium’s European offices (Malta, London, Lithuania and Amsterdam).

The role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities in a dynamic, fast-paced environment. The successful candidate will play a key role in maintaining a positive and efficient workplace experience while leading administrative initiatives and a key project in Malta.

Responsibilities

  • Primary point of contact for office administration across our multiple European locations
  • Leading a key office project in Malta
  • Planning and coordinating office perks and engagement initiatives including monthly events and gatherings
  • Welcoming and assisting office visitors, ensuring efficient visitor registration processes
  • Managing office supplies, inventory, and resources, ensuring optimal stock levels
  • Coordinating office maintenance and upkeep by liaising with service providers and conducting routine checks
  • Managing relationships with vendors and service providers
  • Ensuring compliance with all health and safety regulations and internal policies
  • Assisting with visitors’ travel logistics including accommodation and transport
  • Managing and tracking office budgets, maintaining accurate financial records and reports
  • Providing support to employees with office-related requests and inquiries
  • Maintaining organized documentation and filing systems for all office administration activities
  • Requirements

  • Minimum 3 years of experience in a fast-paced office administration or facilities management role
  • Excellent communication and interpersonal skills
  • Highly organized, with strong problem-solving and multitasking abilities
  • Proven ability to work both independently and as part of a collaborative team
  • Strong command of written and spoken English
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Strong attention to detail, accuracy, and follow-through
  • Proactive mindset, capable of taking initiative and driving improvement
  • Project Management experience will be considered a strong asset
