Billing Associate

A media company billing associate is responsible for accurately processing invoices, managing accounts receivable, reconciling payments, and supporting revenue operations while ensuring compliance with company policies and client billing standards.  

Mon - Friday, 8am- 5pm EST 

Key Responsibilities

· Invoice Generation and Management: Create and distribute invoices accurately and on schedule for media services, advertising campaigns, subscriptions, or client accounts.

· Accounts Receivable & Payment Tracking: Monitor incoming payments, reconcile accounts, update ledgers, and follow up with clients on overdue balances.

· Billing Reconciliation and Reporting: Prepare monthly, quarterly, or ad-hoc reports on revenue, outstanding payments, and discrepancies; assist in financial forecasting.

· Client Communication: Respond to customer inquiries regarding billing and resolve discrepancies professionally, ensuring client satisfaction.

· Compliance and Accuracy: Ensure adherence to internal billing guidelines, media contracts, and industry regulations; maintain accurate billing records.

· Collaboration with Teams: Work closely with sales, finance, and account management teams to ensure billing accuracy and resolve any cross-departmental issues.

· Collections Support (if applicable): Assist with payment collection efforts for overdue accounts while maintaining positive client relationships.

Qualifications

· Education: High school diploma required; associate’s or bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.

· Experience: 1–3 years of experience in billing, accounts receivable, or finance roles; media industry experience can be preferred.

· Technical Skills: Proficiency in Microsoft Office Suite (particularly Excel) and familiarity with accounting or billing software (e.g., NetSuite, SAP, media billing platforms). Knowledge of HubSpot, SalesForce or similar CRM and order entry systems is a plus.

This role is critical in ensuring accurate revenue management, timely invoicing, and positive client relationships within a media company, acting as a point of contact for billing-related operations while supporting the finance team in achieving organizational objectives.
