We’re looking for a Documentation & Compliance Operations Associate to ensure Moxie maintains complete compliance accuracy across all medical director and provider documentation. This role is at the heart of how we maintain legal integrity, support growth, and scale our systems responsibly as we expand. You’ll be the go-to person for managing Moxie’s Compliance Hub, licenses, contracts, SOPs, and compliance documentation — centralizing critical information that keeps our operations running smoothly.
You’ll partner closely with the MD Ops, Legal, and Onboarding teams to prevent compliance gaps, maintain state-by-state accuracy, and ensure our providers and medical directors have the right documentation in place. Your work will directly reduce compliance risk, improve audit readiness, and enable faster, more confident decision-making across the company.
As a Documentation & Compliance Operations Associate, you will:
Own Compliance Documentation Systems – Manage the Compliance Hub and maintain up-to-date records of provider and MD licenses, contracts, SOPs, and compliance materials.
Audit and Organize – Conduct regular audits of compliance documentation across Dropbox, Notion, and Glean to ensure accuracy, completeness, and accessibility.
Maintain State Compliance Tracking – Keep state-by-state compliance pages current with the latest legal and operational requirements.
Collaborate with Legal and MD Ops – Coordinate documentation updates, contract renewals, and compliance checks directly with Legal and Operations.
Manage Sales Tax Certificates – Handle the creation and renewal of sales tax certificates and ensure timely submissions and payments.
Improve Documentation Processes – Streamline how compliance information is tracked, stored, and accessed, reducing repetitive inquiries and confusion.
Build Knowledge Systems – Maintain Notion and Glean as living sources of truth by summarizing key compliance learnings, policies, and updates.
Drive Audit Readiness – Ensure all compliance documentation is audit-ready and easy to access by stakeholders at any time.
Experience in Compliance or Healthcare Operations – 2–4 years of experience managing documentation in healthcare, legal, or operational settings.
Organized and Detail-Oriented – Exceptional attention to detail, with the ability to manage many moving parts while maintaining accuracy.
Process-Driven Thinker – Skilled at creating and improving systems for documentation tracking, audits, and compliance updates.
Tech-Savvy with Modern Tools – Comfortable using platforms like HubSpot, Notion, Arrows, Glean, or similar knowledge and workflow tools.
Collaborative Communicator – Works cross-functionally with Legal, Ops, and Onboarding teams to ensure alignment and transparency.
Compliance-Minded – Understands the importance of regulatory accuracy and maintaining institutional knowledge.
Proactive Problem Solver – Identifies inefficiencies or risks early and implements clear, sustainable solutions.
Critical Impact – Play a key role in maintaining Moxie’s legal and operational excellence by owning the systems that protect the company’s integrity.
Cross-Functional Collaboration – Work directly with Legal, Operations, and Onboarding teams, gaining exposure to how compliance drives Moxie’s business.
Autonomy and Ownership – You’ll have the independence to build and improve core documentation systems while supported by experienced leaders.
Scalable Systems – Design and manage processes that will evolve as Moxie grows, ensuring our compliance foundation scales with the business.
Learning and Growth – Build expertise in compliance operations and technology tools while developing into a key operational contributor.
