The Receptionist will greet and provide direction and information to clients, visitors, and other guests of the firm, and deliver administrative support to partners, consultants, and department heads at Marquette which will include calendar management, expense reporting, event coordination, and other day-to-day tasks as assigned.
Job responsibilities include, but are not limited to: Greet clients, visitors, and other guests with a warm and professional demeanor, promptly notify appropriate personnel of guests’ arrivalAdhere to building security protocol and ensure all office security-related measures are followed; liaison with building to register guests, activate and deactivate access accordingly, change door access, etc.Answer phone calls and route to the appropriate personnelManage conference room calendars and office booking software Greet delivery services, receive and distribute packagesMaintain a clean and organized reception area, front conference rooms, and office common spaces. Provide light to medium support for senior leaders including but not limited to: coordinating domestic travel and accommodations, managing calendars, providing event support, processing charitable contributions, and administering expense reportsProvide in-office event support including client meetings and company group activitiesCollaborate with support team members, assist with various data collection projects, and event coordination Float between reception and production on low-traffic weekdays; collaborate with office manager to print client or prospect books and prepare them for deliveryProvide PTO and leave coverage for production and administrative rolesPerform other administrative tasks as assigned Qualifications: High school diploma or equivalent requiredPrevious experience as a receptionist or administrative assistant requiredExperience with Microsoft Office required; ability to create and edit in Word, Excel, or PowerPoint a plusGood communication and professional writing skillsBasic understanding of administrative and clerical procedures and systemsDemonstrated ability to work in an organized manner and manage time efficiently and effectivelyAbility to maintain confidentialityProfessional demeanor, approachable, proactive, and adaptable to change and changing prioritiesAbility to learn new systems and softwareAbility to interface comfortably with all levels of managementAbility to be physically present in the Chicago office Monday – Thursday. Compensation The starting salary offer will vary based on the applicant’s education, experience, skills, abilities, geographic location, internal equity, and alignment with market data. This position is also eligible to participate in the annual incentive plan, which includes a target bonus of $2,500.
