SUMMARY

 

At Magnolia, the 

Planning Operations 

Specialist 

is responsible for

 managing the effective processing of orders end-to-end and providing administrative support to the planning team through system entry, tools, and reporting. This position works 

from

 Magnolia Headquarters in Waco, Texas.

 It reports to the 

Senio

r Merchandise Planner 

and has 

no 

supervisory responsibilities.

 

ESSENTIAL DUTIES AND 

RESPONSIBILITIES

 

  • Support the daily operational functions within assigned categories to ensure the 

    timely

     delivery of merchandise

     

  • Follow order management process and 

    maintaining

     the accuracy of purchase orders and receipt reconciliation*

     

  • Manage communication to planners 

    regarding

     shipping approvals/cancellations, ensuring 

    appropriate

     

    context

     is shared with partners and solutions are proposed where possible (

  • Partner with supply chain team on transit lead times, delayed handovers, and ensuring purchase orders are reflective of 

    accurate

     shipment dates*

     

  • Write and track direct source purchase orders including inbound shipment, prioritization, and production delays and relay ne

    cessary information to planning team and other cross-functional

     teams

    *

     

  • Lead out in developing and implementing systems for new season 

    purchase

     orders a

    nd

     pictorials

     

  • Manage Vendor Compliance Program ensuring frequent communications with vendors 

    regarding

     chargebacks and driving accountab

    ility while building strong relationships 

    with our vendors

    *

     

  • Coordinate time sensitive deliveries for marketing, events, and launches

     

  • Liaise with the Warehouse to prioritize orders and maximize efficient shipment of orders

     

  • Manage and execute vendor returns, retickets, price changes, etc. in coordination with planners

     

  • Observe, review, and analyze processes to 

    identify

     inefficiencies and areas for improvement

     

  • Design and 

    maintain

     clear operational guides to ensure consistency in operations

     

  • Ensure that all activities conform to local, federal, industry, and company standards

     

  • Perform other duties as assigned

ELIGIBILITY QUALIFICATIONS

 

  • High school diploma or GED equivalent 

    required

    Bachelor's

     degree

     

    from a 4-yea

    r college or university preferred

     

  • 0-2

    years of related work experience OR an equivalent combination of education and experience preferred

     

PHYSICAL DEMANDS

 

While performing the duties of this job, the employee is regularly required to sit; use hands and arms to reach, handle, feel; utilize fine motor dexterity of fingers; talk or hear and taste or smell. The employee is frequently required to stand and walk. The employee is frequently required to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. WORK ENVIRONMENT

 

While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate.
