Position Overview

We’re looking for a proactive and dependable

Virtual Assistant

to support our team with a variety of administrative and operational tasks. The ideal candidate is organized, tech-savvy, and comfortable taking ownership of tasks, finding solutions, and figuring things out along the way. You should be confident in setting things up from scratch, doing thorough research, and making thoughtful recommendations rather than relying too heavily on others for direction. You’re someone who keeps track of details and deadlines, communicates clearly, and follows through consistently. You make smart use of tools and AI to improve productivity, while staying thoughtful and independent in how you approach tasks and decisions.

Key Responsibilities:

  • Manage multiple calendars, schedule meetings, and coordinate appointments and ensure that your manager is prepared for and ready for those meetings and appointments.
  • Track project deadlines and ensure deliverables are completed on time
  • Respond to emails and handle day-to-day communication
  • Create and communicate plans from daily task lists and set your manager up for success through effective communication and reminders
  • Organize files, manage data, and maintain clear documentation
  • Conduct research and create detailed, thoughtful summaries or reports
  • Build, enter data, organize and maintain spreadsheets, documents, and presentations
  • Ensure that your manager has everything they need for successful business trips including itineraries, meeting schedules and plans, along with relevant notes, proposals and presentations
  • Support client communication and customer service tasks
  • Set up systems or tools from scratch when needed and make process recommendations
  • Take initiative to identify gaps, ask the right questions, and offer practical solutions
  • Communicate openly and effectively to ensure that expectations are clear and met consistently
  • Assist with other administrative and operational work as required
  • Qualifications:

  • At least 2 years of experience as a Virtual Assistant or in a similar administrative role
  • Proven experience as a Virtual Assistant or relevant administrative role
  • Excellent verbal and written communication skills in English
  • Experience in project management or scheduling is highly desirable
  • Strong organizational, problem-solving, and analytical skills
  • Confident using and learning new tools or platforms quickly
  • Comfortable setting up processes, systems, or dashboards from scratch
  • Reliable, detail-oriented, and consistent in meeting deadlines
  • Proficient in Google Workspace, Microsoft Office, Zoom, Slack, Trello, or Asana
  • Able to work independently and exercise sound judgment
  • Preferred Skills (not required):

  • Experience in social media management, content creation, or light graphic design
  • Basic knowledge of bookkeeping or invoicing
  • Ability to work in a fast-paced, evolving environment
  • Past experience within human resources would be beneficial but not essential for the role
  • Future responsibilities may include helping with social media management (posting, engagement, and planning)
  • Future responsibilities may include handling travel arrangements and logistics as needed.

  • Work Schedule: Monday to Friday, 9pm to 6am
