We are seeking a knowledgeable and detail-oriented Payroll & Benefits Specialist to join our team. The Payroll & Benefits Specialist is responsible for processing both the bi-weekly and semi- monthly payroll for approximately 400+ full-time employees and all related payroll duties. This position is responsible for assisting with all benefits programs, including medical, dental, vision, FSA, commuter and 401k, as well as maintaining employee records. You will play a crucial role in our HR team while supporting our employees.

Key Responsibilities:

  • Payroll Administration
  • Process bi-weekly and semi-monthly payroll processing for over 400 employees accurately, in compliance with relevant laws and policies.
  • Handle manual checks and off cycle payrolls as needed
  • Manage state and local tax registrations, notices, and updates
  • Handle payroll-related updates such as state tax changes, garnishments and 401(k) contributions
  • Verify and reconcile all payrolls, reviewing reports for accuracy and identify anomalies.
  • Verify accuracy of hourly time cards and ensure proper data import for payroll processing
  • Prepare and provide payroll information for annual audits
  • Maintain current employee files and records accurately
  • Process payroll changes, reconcile regular and supplemental payrolls, and address any discrepancies
  • Maintain compliance with all federal, state, and local regulations related to payroll and taxation
  • Benefits Administration

  • Manage monthly state disability reporting and stay updated on the state disability plans
  • Support disability and PFML claims processing and monitor status
  • Supports benefit plan administration including health insurance, STD, LTD retirement plans, and additional benefits
  • Assisting with annual open enrollment planning, audit reports and testing
  • Assist employees with benefits / enrollment questions and issues
  • HR Administration

  • Ensure compliance by updating required posters for each state
  • Support employee onboarding and offboarding processes, including updates to HRIS platforms and other systems.
  • Maintain and update employee records in HRIS throughout the employee lifecycle (onboarding, status changes, terminations, etc.)
  • Provide administrative support to the HR team by maintaining spreadsheets, and preparing reports
  • Key Requirements:

  • Minimum 3 years of hands-on experience processing payroll
  • Proficiency in Paylocity, and familiarity with additional payroll platforms
  • Extensive experience managing benefits programs such as health insurance, retirement plans, and disability benefits, with a strong track record in compliance and auditing
  • In-depth understanding and practical application in payroll processes of federal and state payroll laws, tax regulations and benefits compliance
  • Proficient in Mac, G Suite, and Microsoft Office applications
  • Exceptional attention to detail and accuracy, combined with strong customer service orientation and excellent written and verbal communication skills.
  • Brings sound judgment, problem-solving abilities, and discretion in handling sensitive or complex tasks independently
  • Skilled in interpreting and communicating complex instructions, working independently with discretion, prioritizing tasks, meeting deadlines, and fostering relationships with diverse professionals
