Job Summary:

The Client Pre-boarding Supervisor plays a critical role in the organization by leading and managing the pre-intake process to ensure the smooth onboarding of clients, projects, or cases. They are responsible for coordinating and managing the activities related to the preliminary stages of client or project onboarding.

Responsibilities:

  • Lead and manage a team of pre-intake specialists.
  • Provide guidance, training, and support to ensure the team's effectiveness.
  • Foster a collaborative and positive work environment.
  • Develop and implement efficient pre-intake processes and procedures.
  • Ensure compliance with organizational policies and industry regulations.
  • Streamline workflows to enhance productivity and accuracy.
  • Collaborate with clients or internal stakeholders to gather initial information.
  • Address inquiries and provide assistance during the pre-intake phase.
  • Ensure a high level of customer service and client satisfaction.
  • Oversee the collection and organization of necessary documentation.
  • Verify and validate information to ensure accuracy.
  • Maintain secure and confidential records.
  • Conduct regular audits to assess the quality of pre-intake processes.
  • Identify areas for improvement and implement corrective actions.
  • Monitor key performance indicators to measure success.
  • Generate reports on pre-intake activities, trends, and performance metrics.
  • Present findings to management and make recommendations for improvement.
  • Collaborate with other departments to facilitate a seamless transition from pre-intake to the next stages of onboarding.
  • Communicate effectively with various teams to address any issues or concerns.
  • Performs other related duties as assigned.

Qualifications:

  • Bachelor's degree in a related field (business administration, management, etc.).
  • Proven experience in a supervisory or leadership role, preferably in a sales, or customer service environment.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and commitment to accuracy.
  • Familiarity with relevant industry regulations and compliance standards.
  • Previous experience in a law firm or immigration-related field is not required but preferred.
