The Sales Operations Administrator is responsible for streamlining sales operations while providing high-level administrative support to the Head of Sales. Paired directly with a Sales Lead, your mission is to maximize their time on client-facing activities by managing proposals, CRM updates, client communications, scheduling, and documentation.
This role is ideal for someone who is detail-obsessed, highly organized, and thrives in a fast-paced environment where switching between tasks is the norm. You’ll work across CRM systems, client communications, and sales workflows to ensure seamless operations that keep the sales engine running efficiently.
Sales Operations Management
Support all aspects of the sales deal flow to maximize Sales Lead effectiveness and reduce administrative burden.
Maintain and organize CRM (HubSpot), ensuring accurate, up-to-date data.
Manage contract processing through DropBox Sign, ensuring timely execution and compliance.
Generate proposals and sales documents to quickly respond to client needs.
Develop and document process improvements for sales support, identifying opportunities for efficiency.
Executive Assistant Duties
Act as an Executive Assistant to the Head of Sales, handling scheduling, call management, and administrative support.
Write and email prospects on behalf of the Sales Lead, reviewing and prioritizing communications.
Create or refine meeting notes in CRM based on recorded sales calls, ensuring detailed and reliable records.
Support additional sales projects and tasks as requested by leadership.
Client Communication & Support
Communicate directly with clients to manage agreements, proposals, and follow-ups.
Serve as a point of contact for client inquiries, ensuring professional and timely responses.
Collaborate with client-side executives, Marketing, Delivery, and Customer Success teams.
Finance Coordination
Liaise with the Finance team to ensure accurate billing and invoicing.
Monitor and follow up on discrepancies related to sales agreements.
Reporting & Documentation
Track weekly sales reports and compile results for Sales Lead and client leadership.
Continuously create, iterate, and document sales operations processes.
Enter, reconcile, and verify sales data (commissions, opportunities, financial records) across CRM and documentation tools.
At least 3 years of experience in customer service or administrative/sales support.
Fluency in English with exceptional professional email and communication skills.
Highly organized with the ability to juggle multiple accounts, projects, and timelines.
Process-oriented thinker with strong documentation habits.
Strong interpersonal and professional communication skills.
Customer- and service-focused with proven relationship-building abilities.
Able to work independently with high accuracy and accountability.
Proficient in G Suite (Calendar, Drive, Docs, Sheets, Slides).
Strong CRM experience (HubSpot preferred).
Intermediate to advanced keyboarding and data-entry skills.
