We're looking for a Facilities Coordinator to join as the operational backbone for their diverse portfolio. This role is about establishing consistency and precision across their multiple locations, guaranteeing that every building meets the highest standards of safety, legal requirements, and operational excellence, ensuring maximum uptime.
You will be instrumental in keeping their best-in-class assets running perfectly. You will be in charge of the maintenance plan for a group of different buildings. You'll provide assistance to the Senior Facilities Manager and act as the key contact between their tenants, service providers, and their management team, ensuring their assets keep performing well long after they're built.
Manage all repairs and maintenance using our software, scheduling and tracking work for equipment across all buildings.
Handle safety paperwork for all repair contractors and ensure all sites follow NSW safety and fire rules.
Organise repair teams and site access across multiple locations in Sydney.
Control the budget by getting quotes, checking bills, and processing payments for all day-to-day spending.
Act as the main contact for tenants and contractors regarding facility queries and new construction handovers.
Perform minor maintenance and operational fixes when required.
2+ years of experience in a similar Facilities Coordinator or Property management role.
Strong knowledge of NSW workplace safety laws and the required contractor paperwork (like insurances and safe work plans).
Experience using maintenance scheduling software and strong skills in managing money/paperwork (invoices and budgets).
A valid Australian Driver's Licence and experience managing operations across different locations.
You're highly organised and enjoy creating structure in busy environments. You pay close attention to detail and know good paperwork makes operations run smoothly. You're an excellent communicator and take pride in providing essential, high-quality delivery. You're also driven by improving safety and keeping buildings in top condition.
You'll work with the Senior Facilities Manager and improve the long-term performance of high-value buildings.
You'll work closely with the teams that plan, build, and manage our properties.
You will be completely in charge of the daily organisation and smooth running of a core part of our property portfolio.
