We’re Extenteam, a dynamic company revolutionizing the short term vacation rental industry. Our proven business model has generated consistent revenue, and we are now expanding from a professional services model to a scalable tech-based subscription-first model.
As a scaling stage startup, we aim to grow our Monthly Recurring Revenue (MRR) to double our revenue by January 2026 by providing an AI assisted SaaS platform that works for all short term rental businesses regardless of their size.
Extenteam is on a mission to streamline and support vacation rental businesses by providing top-notch solutions, including guest communication and property management support.
We generate revenue through two primary streams:
- Dedicated Team Members: Providing trained overseas talent with a recurring premium model, replacing one-time recruitment fees.
- Tailwind - SaaS Platform: A guest communication Software blended with our shared services team, supporting smaller operators helping Extenteam increase profitability while growing our product market fit and expanding TAM and service levels.
Extenteam is a small but mighty team of 50 consisting of Sales, Partner Success, Marketing, HR & Recruiting, Engineering, Product and Admin (IT, Data etc). We are spread out across the world but we have hubs in Miami, LA, Medellin, and actively expanding into Europe. Our 50 people core team is supported by 400+ DTMs (dedicated team members) that are servicing our customers.

What This Role Is About:
We’re looking for a Property Compliance & Digital Listings Coordinator to manage propertypermitting and digital listing accuracy across all platforms. This role ensures that every homemeets regulatory requirements and performs optimally online, balancing complianceadministration with digital marketing precision.

Your Main Responsibilities:
Compliance & Permit Management (Primary Focus)
- Track permit applications, renewals, and expirations across all managed properties.
- Prepare and submit documentation to municipalities and regulatory bodies.
- Maintain organized digital records for all permits, approvals, and correspondence.
- Communicate with local agencies to resolve any pending issues.
- Generate compliance and renewal activity reports for leadership.
Digital Listings & Performance Management:
- Create, update, and audit property listings across multiple digital platforms (Guesty,Airbnb, Vrbo).
- Ensure accuracy, brand consistency, and visual quality in all property listings.
- Monitor performance metrics such as engagement, conversion, and listing views.
- Identify and recommend improvements to boost visibility and performance.
- Maintain a centralized database of listing content and publication schedules.
Administrative & Analytical Support:
- Produce weekly and monthly reports summarizing permit status, compliance rates, and listing performance.
- Maintain detailed logs of submissions, updates, and renewals.
- Support leadership in ensuring operational readiness and compliance transparency.
What We’re Looking For:
Mandatory Reporting Requirements:
You will be responsible for maintaining and submitting:
- On-time submission and renewal metrics.
- Accuracy reports for listings and compliance documentation.
- Listing engagement data (views, conversions, bookings).
- Weekly permit and platform performance summaries.
Required Qualifications
Core Skills & Experience:
- Excellent organizational and time management abilities.
- 2+ years in administrative, compliance, or operations roles within Vacation Rentals.
- Strong attention to detail and documentation accuracy.
- Clear, professional communication with external stakeholders (e.g., municipalities).
- Self-starter with the ability to manage multiple deadlines simultaneously.
Technical Proficiency:
- Experience using Guesty or similar property management platforms.
- Proficiency in Excel/Google Sheets for tracking and reporting.
- Familiarity with digital listing platforms (Airbnb, Booking.com, Vrbo).
Preferred Qualifications:
- Prior experience with property permitting or compliance processes.
- Background in short-term rental operations or hospitality.
- Basic understanding of marketing data and listing optimization techniques.
Availability & Flexibility:
- Standard Monday–Friday schedule.
- Occasional flexibility required for permit submission deadlines or platform updates.
- Ability to communicate effectively with agencies across different time zones when needed.
Technical Requirements:
- Internet speed minimum 30mbps:Needs to be Wired (Buy a dongle if no LAN port)
- i5 11th Gen or higher
- Windows 11 / MacOS Catalina or higher
- Minimum of 8 GB RAM
- Private and quiet dedicated home office area (no roosters, dogs, children's noises in the background)
- Back-ups in case of power or internet provider interruptions
- Good headset and webcam (preferably noise-canceling headset)
