Accounts Coordinator - Institutional

London - Hybrid 4 days in office, 1 day from home.

The role:

We are seeking a detail-oriented and proactive Accounts Coordinator to join our Institutional Solutions department. This role is central to managing the financial relationship with our institutional clients, primarily focusing on the accurate, timely, and efficient handling of invoices, fees, and related documentation. The ideal candidate is highly organized, possesses strong analytical skills, and is committed to improving financial health by reducing outstanding receivables.


Key Responsibilities

The Accounts Coordinator will be responsible for a wide range of tasks essential to the department's financial operations:

  • Billing and Fee Management
    • Invoice Management: Oversee the distribution, and tracking all invoices and associated fees for Institutional Solutions clients.
    • Database Management: Maintain and manage the overall database of client fees, ensuring data integrity, accuracy, and completeness.
    • Financial Analysis: Provide detailed fee and invoice breakdowns to clients upon request, ensuring transparency and addressing all queries promptly.
    • FX Conversions: Conduct and manage Foreign Exchange (FX) conversions on behalf of clients for fees that need to be settled in a currency different from the original invoice.
  • Collections and Accounts Coordination
    • Accounts Receivable Focus: Implement and manage strategies to decrease the volume of unpaid fees and outstanding balances, actively working to improve the department's collections rate.
    • Client Communication: Serve as a primary point of contact for clients regarding invoicing, payment status, and fee discrepancies.
    • Cross-Functional Collaboration: Work closely with the internal Accounts team (e.g., Accounts Receivable, Finance) to provide necessary supporting documents, payment histories, and other data required to resolve client payment issues and ensure prompt settlement.

Required Skills & Experience
  • Proven experience in a financial, billing, accounts receivable, or operations role, preferably within a large organization or institutional setting.
  • Exceptionalattention to detail and a high degree of accuracy in data entry and financial reporting.
  • Strong communicator, confident with client communication.
  • Proficiency in financial management software andadvanced expertise in Microsoft Excel/Google Sheets (e.g., VLOOKUPs, pivot tables) for data analysis and reporting.
  • Excellent written and verbal communication skills, with the ability to articulate financial information clearly to clients and internal stakeholders.
  • Solid understanding of basic accounting principles and invoicing processes.
Preferred Qualifications
  • Experience with FX conversion.
  • Prior experience managing a large client fee database or CRM/ERP system (e.g., Salesforce, SAP, Oracle).
  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
