The Executive Assistant will provide comprehensive administrative support to senior executives, ensuring efficient management of schedules, communications, and key business activities. This role requires a proactive, highly organized professional with excellent communication skills and fluent English, capable of handling sensitive information with discretion.
The ideal candidate will act as a trusted partner to the leadership team, facilitating decision-making and enabling executives to focus on strategic priorities.
Manage complex calendars, scheduling meetings, and coordinating travel arrangements (domestic and international).
Prepare, review, and edit correspondence, reports, presentations, and other confidential documents in both English and Portuguese.
Serve as the primary point of contact between executives, internal teams, and external stakeholders.
Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Handle confidential information with the highest level of discretion and professionalism.
Support budget tracking, expense reports, and vendor management as needed.
Anticipate the needs of the executives and provide proactive support to streamline daily operations.
Assist in planning and organizing company events, off-sites, and leadership meetings.
Ensure alignment of communications and priorities across the executive’s areas of responsibility.
Bachelor’s degree in Business Administration, Executive Secretariat, or a related field.
Fluency in English (spoken and written) – mandatory.
Minimum of 3-5 years of experience in an executive assistant or similar role supporting senior leadership.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
Excellent organizational and time-management skills, with attention to detail.
Ability to handle multiple priorities in a fast-paced, dynamic environment.
Strong interpersonal and communication skills, with the ability to interact effectively with stakeholders at all levels.
High level of integrity, discretion, and professionalism.

Confidentiality & Trustworthiness – handles sensitive information appropriately.
Attention to Detail – delivers accurate and high-quality work.

Experience in a multinational or fast-paced company.
Knowledge of additional languages (Spanish, French, etc.) is a plus.
Familiarity with project management tools (e.g., Monday.com, Trello, Asana).
