Contracts Manager

We are looking for an organized, detail-oriented, and proactive Contracts Manager to join our growing, distributed team at Coforma.

Contracts Managers wear many hats (and sometimes may feel like they are asked to pull rabbits out of them!) From writer, protector, recordkeeper, guidance counselor, enforcer, and, yes, even occasional magician, this role serves as a key business partner for the Growth, Delivery, and Legal teams. The ideal candidate has a background in digital technology and design services and exudes competence, character, collaboration, and excitement at the opportunity to develop, iterate, and improve department workflows and policies. Experience in federal government contracting is required for this role.

Salary

$85,000 to $107,000 Annual Salary + Benefits + Growth Potential. Placement within this range will be based on the competency level of the candidate. An offer will be made at Tier 1 ($85,000), Tier 2 ($96,000) or Tier 3 ($107,000).

What You'll Do (Responsibilities)

  • Administer contracts as assigned: Ensure accuracy and completeness of subcontract records, distribute instructions and contract requirements to appropriate parties via accurate and prompt updating of internal trackers, maintain records and documents in accordance with contract requirements and company policy, draft, review, negotiate, and collect signatures for non-disclosure agreements, teaming agreements, authorizations to proceed, and subcontracts between Coforma and its partners, record and track amendments to existing agreements, and manage the contracts closeout process.
  • Drive and foster internal and external collaboration across the organization: This includes assisting the Growth team in reviewing responses to solicitations and preparing ancillary documents for proposals, collaborating with the Project Management Office (PMO) to lead contract kickoff meetings, performing subcontractor due diligence, and attending meetings with the client’s contract team personnel, building relationships with stakeholders and answering questions regarding contract requirements.
  • Adhere to and contribute to Coforma’s contract management and compliance processes: Help iterate upon and refine Coforma's contract management and compliance processes in relation to our obligations under the Federal Acquisition Regulation (FAR) and any other applicable laws and regulations, ensuring our company remains compliant at all times.
  • Contracts process improvement: Assist in the improvement of the Contract and Legal Affairs department’s operations, efficiencies, and accuracy, implementing AI tools to improve speed and efficiency and to maximize the quality and level of support the department provides to the organization.

Your First 30 Days

  • Complete new hire orientation training and familiarize yourself with the Contracts Manager Onboarding Guide
  • Meet key stakeholders and external counterparts
  • Confirm proper access to internal and external government systems, G Drive folders, and attend regular meetings
  • Train on internal tools such as Slack, Lattice, Jira, Google Docs / Sheets, and Unanet
  • Learn about the Growth team’s process for pursuing new opportunities and become familiar with the active pipeline

After 60 Days

  • Document your process for completing work against established guidelines
  • Track the time spent on specific tasks to establish Service Level Agreements for responding to certain requests
  • Conduct a deep dive of contract templates and work with the Contracts Director and General Counsel to refine contract language and develop negotiating playbooks
  • Identify skills or knowledge gaps and establish a professional development plan for yourself

After 90 Days

  • Review backlog of contracts and department maturity work and select one initiative to focus on implementing or improving
  • Create calendar for proactive subcontract management and re-establish subcontractor due diligence and onboarding processes

Who You Are (Requirements)

  • 3+ years of federal contract management experience for acquisitions of agile software development services or digital products
  • Experience with a wide variety of contract types including FFP, T&M, BPAs, GSA Schedule Order purchases, GWACs, and agency IDIQs
  • Experience with G Suite, Slack, Zoom, Unanet, and project management or ticketing software such as JIRA
  • Confidence in skills and experience and comfortable acting as a trusted subject matter expert on all things related to contract management and administration
  • Critical thinker who is not afraid to ask questions and offer suggestions and has a willingness to learn new technologies and tools
  • Strong writer and communicator who is able to distill complex or technical regulatory requirements into plain language and can communicate clearly and succinctly with colleagues at all levels across the organization
  • A proactive, empathetic, persistent, positive, and growth mindset
  • Comfortable working independently and as part of a team, managing multiple tasks and projects simultaneously and able to anticipate challenges and adapt to changing situations with new information
  • Full-time resident of the contiguous United States (must be legally authorized to work in the US now and in the future without sponsorship)

Preferred Qualifications and Experience

  • Certified Federal Contract Manager, DITAP completion, or similar certification
  • Experience working with disadvantaged small business (SDVOSB, 8(a) companies), or Mentor-Protégé Program participants in the digital services industry
