About the roleAt Catawiki, we fundamentally believe that the foundation of every high-performance and dynamic team is a reliable, efficient, and robust HR backbone. This infrastructure is critical for supporting our growth and ensuring a positive employee experience. We are currently seeking a highly skilled and experienced Senior HRIS Specialist to join our team. This is a pivotal role where you will take full and end-to-end ownership of our core Human Resources Information Systems (HRIS). Your primary mission will be to ensure smooth system operations, maintain impeccable data accuracy and integrity, and design and implement scalable HR workflows that can support Catawiki’s ambitious trajectory.
What you’ll do- HRIS system administration & maintenance: Serve as the main steward for our HRIS (HiBob). Manage user roles and permissions, system configuration, data audits, and ongoing maintenance to ensure data integrity and system stability.
- Process optimization & automation: Identify opportunities to streamline and automate HR workflows — think onboarding, offboarding, leave & absence, employee data updates — and implement those improvements in the HRIS.
- Reporting & analytics support: Generate regular and on-demand reports and dashboards (e.g. headcount, turnover, hiring, internal mobility), ensuring high data quality and supporting HR decision-making.
- Stakeholder support & user training: Act as HRIS point of contact for HR, People Ops, and other teams. Translate system functionality to non-technical colleagues, offer training and support, and help users get the most out of the HRIS.
- Integration & data flows: Design, implement and maintain integrations between HiBob and other business systems (e.g. payroll, benefits, external vendors). You should have hands-on experience with SFTP or API-based integrations/data exchanges — ensuring smooth, secure transfer of employee data across platforms.
- HRIS project participation: Lead or take part in HRIS-related projects — configuration updates, system enhancements, new integrations, data migrations or process redesign. Document processes and drive continuous improvement of our HR technology setup.
- Data security & compliance: Ensure employee data is handled securely and in compliance with relevant regulations. Manage access controls carefully, monitor for data integrity, and help enforce best practices around privacy and confidentiality.
- Experience: 3 years or more in HRIS, HR systems administration, HRIT or equivalent roles — ideally in a fast-growing or mid-sized organisation.
- HRIS expertise: Strong hands-on experience with HiBob is required. Experience with other HCM systems (e.g. Workday, SuccessFactor, BambooHR) is a plus.
- Integration skills: Proven experience working with integrations (via SFTP, APIs or equivalent) between HRIS and other systems (e.g. payroll, benefits, external vendors or services).
- Technical & analytical capabilities: Comfortable managing HR data, performing audits, ensuring data integrity, and able to extract meaningful HR metrics. Familiarity with data import/export processes, secure data flows, and perhaps basic scripting or mapping tools is a plus.
- Understanding of HR processes: Solid knowledge of common HR workflows (onboarding, offboarding, benefits, leave management, data maintenance, etc.), and ability to translate those into system logic and workflows.
- Communication & collaboration: Strong communicator who can work across teams (HR, Ops, external vendors) and translate technical system details to non-technical stakeholders. Adept at user support and training.
- Problem-solving & ownership: Proactive, detail-oriented, with a strong drive to own the HRIS domain. Able to prioritize work, handle multiple tasks and deliver under deadlines.

Most Catawikians are within commuting distance of one of our offices and enjoy the flexibility of a hybrid work model.
