The Job

The Executive Assistant will serve as the CEO’s key partner, acting as an extension of his workflow to create clarity and leverage across Cardless’s most important priorities. This role goes beyond coordination. You’ll manage time, communication, and cross-functional alignment to keep the CEO focused and the organization operating smoothly as we scale.

Responsibilities:

Maximize CEO effectiveness and strategic focus

  • Streamline the CEO’s time and priorities to focus on company growth, major partnerships, and fundraising.

  • Manage calendar, communication, and prep materials to ensure every meeting and decision is high-impact.

Drive operational alignment across leadership

  • Partner with the CEO and leadership team to coordinate meetings, track action items, and ensure follow-through on key initiatives.

  • Maintain visibility into company priorities and ensure the CEO is equipped with accurate context and updates.

Build scalable executive operations infrastructure

  • Establish repeatable systems for scheduling, communication, travel, and document management that can grow with the company.

  • Identify and implement tools or processes that improve efficiency across the executive team.

Own additional projects and relationships

  • External Relations: Coordinate meetings with key partners, investors, and external stakeholders to ensure smooth logistics and professional engagement.

  • Confidential Projects: Support the CEO with sensitive or ad-hoc projects.

  • Personal & Day-to-Day Support: Assist the CEO with high-priority personal and operational needs that enable focus on company priorities.

  • Internal Communications & Culture: Help draft company updates, organize all-hands, offsites, company events, happy hours and other related initiatives.

Requirements:

  • 3+ years of experience supporting senior executives (ideally in a startup or high-growth company).

  • Tech-Forward & Solution-Oriented — embraces new technology and finds creative solutions in a dynamic, fast-growth setting.

  • Operational Excellence & Organization — exceptionally organized, managing complex calendars, priorities, and sensitive information while keeping the CEO one step ahead.

  • Strategic Judgment & Discretion — exercises strong business judgment, handling confidential matters with professionalism and aligning decisions with company priorities.

  • Communication & Relationship Management — communicates clearly and builds trust across teams, serving as a connector between the CEO and stakeholders.

  • Adaptability & Initiative — thrives in ambiguity, pivots as priorities shift, and proactively improves processes and workflows.

This role has an annual starting salary range of $100k - $157k + equity + benefits (see below). Actual compensation is influenced by a wide array of factors, including but not limited to skills, experience, and specific work location.

Location

We're headquartered in San Francisco, CA, with a beautiful office in the Mission District (near Dolores Park). We welcome employees who want to work from this office; we offer additional benefits to those who do (see below), and relocation assistance to those who'd like to.
