The Administrative Assistant provides essential on-site support at CALSTART’s Pasadena headquarters, ensuring that day-to-day operations run smoothly and efficiently. This role is ideal for someone who takes pride in keeping things organized, moving, and on schedule. You’ll be a central point of contact for staff, vendors, and visitors, helping make the headquarters a professional, welcoming, and well-run environment.

This is an on-site, temporary role based in our Pasadena, CA headquarters.

What You’ll Do:

  • Serve as the central administrative support for CALSTART’s Pasadena office, ensuring smooth daily operations.
  • Handle mail and packages, manage office and kitchen supplies, and coordinate ergonomic and maintenance needs.
  • Support meetings and events through scheduling, setup, logistics, and travel coordination.
  • Manage building access, vendor visits, and assist accounting with invoices, requisitions, and postage funds.
  • Help program teams with shipping, materials tracking, and event logistics.
  • Greet visitors, answer mainline calls, and provide a professional on-site experience.
  • Collaborate with the Manager of Facilities & Safety to complete administrative tasks accurately and on time.
  • What You’ll Bring to the Table:

  • ​​At least three years of experience performing administrative, facilities, or office coordination work in a professional environment.
  • Intermediate to advanced proficiency in Microsoft Outlook, Excel, Word, and Teams.Advanced Excel skills preferred.
  • Proven ability to manage multiple priorities with accuracy and attention to detail.
  • Strong organizational and time-management skills, with a focus on follow-through and reliability.
  • Clear, professional written and verbal communication skills.
  • Sound judgment, discretion, and initiative when handling sensitive or time-critical matters.
  • A collaborative mindset and eagerness to contribute to a supportive, team-oriented workplace. ​

    Compensation

    CALSTART values transparency and strives to provide as much information regarding compensation as possible. The salary range for this role is

    $25 - $29.81 per hour. We determine pay based on several factors, including but not limited to job-related skills, qualifications, experience, education, internal equity and other factors relevant to the job.
