Job Title: Sales Coordinator – Commercial Interiors (Remote)

Summary:

We are seeking a highly detail-oriented Sales Coordinator to join a dynamic commercial interiors team. This is a 100% remote position ideal for someone experienced in budget quotes, order entry, and project specification tools like ProjectSpec, Khameleon, or similar. The role requires meticulous attention to detail to ensure all specifications, orders, and budgets are accurate and aligned with project goals. The ideal candidate thrives in a fast-paced environment, keeping projects moving smoothly while maintaining strong communication with designers, account managers, and vendors.

Key Responsibilities:
  1. Order Management & Budget Coordination
  • Prepare and process budget quotes and purchase orders accurately.
  • Verify order details, product specifications, and pricing to ensure alignment with project requirements.
  • Maintain accurate records of all orders, approvals, and budget updates.
  1. Project Documentation & Admin
  • Keep project files organized, including contracts, POs, specs, and change orders.
  • Ensure timely communication of updates, revisions, and approvals to internal teams and vendors.
  • Support designers and account managers by double-checking all specifications and order details for accuracy.
  1. Tool & System Management
  • Work extensively with ProjectSpec, Khameleon, or similar software to manage specifications, budgets, and orders.
  • Ensure all data is accurate, complete, and up-to-date across internal systems.
  1. Vendor & Internal Coordination
  • Act as a liaison between vendors, designers, and account managers to clarify specifications, product availability, and order status.
  • Identify and resolve discrepancies proactively to avoid delays in project execution.
  1. Continuous Support & Quality Assurance
  • Review and cross-check designer submittals, specifications, and orders for completeness and accuracy.
  • Anticipate potential issues and recommend solutions to maintain project timelines.
Qualifications:
  • 3–5 years in a Sales Coordinator, Project Coordination, or Administrative role within commercial interiors, office furniture, or A&D firms.
  • Strong experience with ProjectSpec, Khameleon, or similar order/specification tools.
  • Proven ability to manage budget quotes, order entry, and project specs accurately.
  • Exceptional attention to detail with strong organizational skills.
  • Excellent verbal and written communication skills to work with designers, vendors, and account managers.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with project management tools.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced, remote environment.
