Commercial Interiors – Order Administration & Project Support

About the Role

We are seeking an experienced Commercial Interiors Project Coordinator – Order Management to support our team with accurate, detail-focused order building and administration. The ideal candidate has hands-on experience working with commercial interiors dealers, manufacturers, or A&D firms and is confident taking a project from approved specification to clean, complete orders.

You’ll primarily use ProjectSpec and/or Khameleon, with additional value placed on experience in ProjectMatrix, CET, Hedberg, CORE, Acumatica, and similar systems.

This role is ideal for someone who thrives on precision—specs, finishes, pricing, acknowledgments, and change management—and enjoys being the dependable point of coordination for designers, project managers, and sales teams.

Key Responsibilities

Order Management & Entry

  • Convert approved quotes and specifications into accurate customer orders and purchase orders.
  • Enter and process orders using ProjectSpec and/or Khameleon as primary tools.
  • Confirm product specs, finishes, SKUs, COM/COL requirements, pricing, and discounts before submission.
  • Ensure timely PO placement and track orders from submission to acknowledgment and shipment.

Specification & Project Documentation

  • Interpret and work from specs created in ProjectSpec, ProjectMatrix, CET, or similar systems.
  • Maintain organized project folders containing POs, acknowledgments, submittals, approvals, and change orders.
  • Update internal systems (Khameleon, CORE, Acumatica, etc.) with updated order data, shipping details, and changes.
  • Support designers and project managers by reviewing line items for completeness and accuracy prior to ordering.

Vendor & Dealer Coordination

  • Communicate with manufacturers, reps, and vendors regarding pricing, availability, lead times, and shipping.
  • Resolve discrepancies between POs and order acknowledgments, including pricing, quantities, finishes, and model numbers.
  • Provide clear order status updates to internal teams.
  • Track orders through the full lifecycle: quote → PO → acknowledgment → shipping → delivery.

Quality Control & Issue Resolution

  • Identify and correct errors in pricing, specifications, finishes, quantities, and COM/COL details.
  • Proactively flag risks or missing information that may affect lead times, accuracy, or installation.
  • Maintain accurate order and shipping data across all systems and project documentation.
  • Assist in resolving issues related to damages, backorders, returns, or re-orders in collaboration with vendors and internal teams.

Qualifications

Experience
  • 2–5 years of experience in commercial interiors (dealer, manufacturer, A&D support, project coordination, or order management).
Technical Skills (Must Have)
  • Hands-on experience with ProjectSpec and/or Khameleon for order building and processing.
  • Experience with at least one related platform: ProjectMatrix, CET, Hedberg, CORE, Acumatica, or similar.
Industry Knowledge
  • Strong understanding of commercial interiors products, SKUs, finishes, COM/COL, and typical dealer/manufacturer order workflows.
  • Experience with budget quotes, pricing validation, margin awareness, and order acknowledgments.
Communication & Coordination
  • Clear, professional communication with vendors, designers, reps, and project managers.
  • Ability to manage multiple projects and orders simultaneously in a fast-paced environment.
Organizational Skills
  • Exceptional accuracy and attention to detail in data entry and documentation.
  • Strong organizational skills and the ability to keep multiple orders and timelines aligned.

Nice to Have

  • Experience with SAP, CORE, Acumatica, or other ERP/order management systems.
  • Familiarity with major commercial interiors brands such as Herman Miller, Haworth, Steelcase, Teknion, Knoll, Allsteel, HON, etc.
