We are seeking a Business Support Executive for a 12 month FTC, with the potential to get extended after that.
The Business Support Executive at Amach plays a vital role in driving the efficiency of the Talent Acquisition function and wider business by providing high-quality administrative support, coordinating processes, and ensuring accurate reporting and documentation.
This position calls for a proactive and organised professional with strong business awareness and exceptional attention to detail. You will act as a key point of coordination, supporting multiple teams and ensuring smooth collaboration across the organisation. Effective stakeholder management is central to this role, as you will engage with colleagues from different areas of the business to align efforts and drive shared outcomes. By streamlining processes and providing reliable administrative support, you will directly contribute to Amach’s continued growth in Ireland and across Europe.
Required Experience:
Minimum 3 years’ experience in a business support, recruitment coordination, or operations role, ideally within a fast-paced or high-growth environment
Excellent communication skills in English, both written and verbal, with the ability to engage and influence stakeholders at all levels
Strong organisational and time management skills, with proven ability to manage competing priorities and meet deadlines
Exceptional administration skills with a high level of accuracy and attention to detail
Proficiency with Microsoft 365 suite (Word, Excel, PowerPoint, Outlook), with strong Excel and PowerPoint skills for reporting and presentations
Ability to produce accurate reports and analyse data to inform decision-making
Commercial awareness, including experience managing or tracking budgets and costs
Proven ability to handle confidential and sensitive information with discretion
Proactive and solutions-focused mindset, with a track record of identifying and implementing process improvements
Key responsibilities & duties include:
Provide day-to-day administrative support to the VP of Talent Acquisition and wider TA team, ensuring smooth coordination of activities
Track hiring metrics and maintain accurate reporting on recruitment activity, producing regular updates for the TA team and leadership
Support the preparation of reports, presentations, and documentation (Excel, PowerPoint, Word) for leadership and stakeholder meetings
Coordinate interview scheduling, candidate communications, and feedback tracking to support an excellent candidate experience
Maintain and update the Applicant Tracking System (Greenhouse), ensuring data integrity and consistency across records
Assist with tracking and managing recruitment-related budgets, invoices, and costs in partnership with Finance
Support onboarding processes by preparing documentation, tracking progress, and coordinating with hiring managers and HR
Act as a central point of contact for TA team queries, escalating issues and providing solutions where possible
Ensure compliance with data protection and confidentiality requirements when handling candidate and employee information
Contribute to process improvement by identifying inefficiencies and recommending enhancements to TA operations
Assist in the preparation and coordination of team meetings, workshops, and events, including minute-taking and action tracking
Provide general business support across wider operations projects when required, acting as a bridge between TA and other departments
