This is not a typical administrative role. We are looking for a highly proactive, tech-savvy, and strategic Executive Assistant to act as the right-hand partner to our Founder & CEO. As the CEO's force multiplier, you will be at the epicenter of our company's most critical functions: product, marketing, and fundraising.
You will have a front-row seat to the inner workings of a rapidly scaling, venture-backed robotics startup. This role offers a unique opportunity to learn directly from the founder, engage with top-tier investors and partners, and contribute meaningfully to our mission. You will be instrumental in optimizing the CEO’s focus, enabling him to lead the company to its next stage of growth as we move towards general availability in Q1 2026.
1. Masterful Executive Support & Communication:
Calendar & Schedule Management: Strategically manage the CEO's calendar with a forward-thinking approach, prioritizing meetings, resolving conflicts, and ensuring he is prepared for all engagements.
Inbox Management: Triage and manage the CEO’s high-volume email inbox (we use Superhuman). Draft and send communications on his behalf, flag critical items, and ensure timely responses, especially during high-stakes activities like fundraising.
Communication Gatekeeper: Monitor and respond to Slack messages and texts as needed, ensuring seamless communication flow between the CEO and the team.
2. Proactive Project & Operations Management:
Follow-Up System Ownership: Maintain a meticulous personal tracker to manage follow-ups with team members, investors, and partners, ensuring nothing falls through the cracks.
Documentation & Knowledge Management: Update and organize key information on our internal Notion pages, creating clear documentation for projects and processes.
Meeting Intelligence: Synthesize key takeaways from calls by either listening in or leveraging meeting notes (e.g., from Granola) to maintain context and drive action items.
3. Fundraising & Investor Relations Support:
Deal Process Acceleration: Be a critical asset during fundraising cycles by updating our CRM promptly, sending timely follow-ups to investors, and anticipating next steps to maintain momentum.
Investor Communication: Draft professional and context-aware follow-up emails to venture capitalists and angel investors.
Ecosystem Awareness: Leverage your understanding of the venture ecosystem to effectively triage communications and prioritize engagements.
4. Workflow Automation & AI Integration:
Process Optimization: Identify and implement opportunities to automate workflows using no-code tools (e.g., Zapier) to improve efficiency.
AI Leverage: Utilize AI tools to assist with tasks such as drafting social media posts, creating documentation, scheduling, and generating email templates.
Proven Experience: 3+ years of experience as an Executive Assistant, Chief of Staff, or in a similar operational role supporting a senior executive, preferably in a fast-paced, remote environment.
Venture Ecosystem Fluency (Crucial): Prior experience working for a venture-backed founder or at a venture capital firm. You understand the terminology, pace, and key players in the tech and VC world.
Exceptional Communication: Impeccable written and verbal communication skills. You can draft clear, concise, and professional correspondence that reflects the CEO's voice.
Proactive & Autonomous: You are a self-starter who anticipates needs, solves problems with minimal supervision, and takes complete ownership of your responsibilities.
Tech-Native & AI-Savvy: You are highly proficient with modern productivity tools (Notion, Slack, Superhuman, G-Suite) and are comfortable learning and integrating new AI and automation technologies to enhance your workflow.
Master of Project Management: Strong ability to manage multiple ad-hoc projects and competing priorities simultaneously while maintaining meticulous attention to detail.
