POSITION SUMMARY
We are is seeking a Chief of Staff / Growth Operations Manager to ensure seamless execution across client deliverables and internal operations for our multi-client growth marketing consultancy. This role turns strategy into action — translating high-level discussions into concrete workflows, maintaining operational discipline, and ensuring every client interaction reflects SSP’s premium standards.
The ideal candidate thrives in a fast-moving consulting environment where precision, proactive communication, and process excellence drive results. This is a hands-on, systems-minded role that combines strategic thinking with operational execution to help SSP scale efficiently.
KEY JOB RESPONSIBILITIES
Meeting Operations Management – Build structured agendas, facilitate client meetings, capture key decisions, and translate meeting notes into actionable tasks within Asana or Trello with clear owners and timelines. Maintain follow-up systems to ensure zero missed commitments.
Client Communication & Alignment – Draft recap emails, status updates, and strategic briefs that keep stakeholders informed and aligned. Manage client correspondence and uphold a consistent, professional tone that reinforces SSP’s premium positioning.
Deliverable Assembly & Quality Control – Develop client-facing presentations and documents from structured outlines and templates. Uphold brand consistency, perform light editing and proofreading, and ensure all materials meet SSP’s consulting standards.
Vendor & Talent Coordination – Source, onboard, and manage specialized contractors including copywriters, performance marketers, creative talent, and technical partners. Oversee NDAs, access permissions, and project timelines to maintain operational flow.
Financial Operations Support – Track SOWs, invoices, and receipts. Maintain accurate logs for accounting and prepare documentation for CPA review to ensure precise, timely reporting across all client accounts.
Systems & Process Optimization – Maintain clean and organized shared drives, enforce naming conventions, and ensure version control across client assets. Identify opportunities for automation and continuously refine workflows for speed and consistency.
REQUIREMENTS
Education – Bachelor’s degree preferred, ideally in Business Administration, Communications, or a related field.
Experience – 3–5 years of agency, consultancy, or startup operations experience with proven excellence in client service and internal coordination.
Technical Proficiency – Expert in Google Workspace; advanced proficiency in Asana or Trello; comfortable with AI Solutions, LLMs (Claude, ChatGPT, Gemini, etc.), analytics platforms, dashboards, and data hygiene.
Communication Skills – Exceptional writing, editing, and documentation skills; able to synthesize information clearly and represent SSP’s voice in client communications.
Industry Familiarity – Exposure to marketing consultancy or performance marketing environments preferred; working knowledge of digital marketing terminology and workflows.
