Job Title: Administrative & Customer Support Associate – LATAM (Bilingual)

Location: Remote (LATAM)

Working Hours: Full time - Monday to Friday (flexible hours, with availability to overlap EST hours for client support or daily meetings)

Languages: Fluent in English & Spanish (Portuguese a plus)

Compensation: $1,500-$2,000 USD

Our client is a 40+ year-old company specializing in the service, repair, refurbishment, and resale of neuro-diagnostic equipment. We are growing our team and looking for a proactive, bilingual Administrative & Customer Support Associate to help us manage day-to-day operations and provide exceptional service to our customers across the Americas.

About the opportunity

This role combines administrative support with customer service responsibilities. The ideal candidate will be detail-oriented, organized, and comfortable handling customer inquiries while also supporting internal processes such as invoicing, shipping coordination, and CRM updates.

Key Responsibilities

  • Support customer inquiries via email, phone, and WhatsApp (in English & Spanish).

  • Assist with creating and processing quotes, invoices, and purchase orders.

  • Coordinate with logistics/freight forwarders for shipments, including export paperwork.

  • Maintain accurate records in CRM (HubSpot, Quickbooks).

  • Follow up with customers on service tickets, sales, and payments.

  • Provide administrative support to the sales and operations teams.

Qualifications

  • Prior administrative or customer service experience required.

  • Bilingual: English & Spanish required (Portuguese a plus).

  • Strong organizational and communication skills.

  • Proficiency with Microsoft Office/Google Workspace; CRM or ERP familiarity a plus.

  • Team player with a proactive, service-oriented mindset.
